Privacy statement

Who we are

Stichting Hollanda Türk Gönüllüler Vakfı (Dutch Turkish Volunteers Foundation, "HTGV"), based in Rotterdam and registered with the Dutch Chamber of Commerce (KvK) under number 66870704, is responsible for the processing of personal data described in this privacy statement. What data we process

We only process the data you give us yourself:

Contact form: name, email address, phone number (if you fill it in), subject, your message and the language of the website.
Volunteer application: name, email address, phone number, place of residence, availability, interests, your message and your consent to this privacy statement.
Donations: name (if you fill it in), email address, amount, the chosen project, an optional message and the status of the payment. For a monthly donation also the start and end date.
Email: the emails we send you (for example a thank-you or a reply to your message) and the messages you send us.

We do not process special categories of personal data (such as health or religion) through this website and do not ask for them. We do not knowingly collect data from children under 16 without the consent of a parent or guardian.

Why we use this data

To answer your question or message. Legal basis: our legitimate interest in responding to people who contact us.
To handle your volunteer application and stay in touch with you. Legal basis: your consent.
To process your donation, thank you and manage a monthly donation. Legal basis: performance of your donation (contract).
To keep our accounts. Legal basis: legal obligation (tax retention requirements).

We do not use your data for any other purpose, we do not sell it and we do not send you newsletters without your consent.

How long we keep data

Contact messages: up to two years after the last contact.
Volunteer applications: as long as you volunteer with us and up to two years after that. If we do not start working together, we delete your data within two years.
Donations: seven years, as required by law for our financial records.
Record of emails sent: up to two years.

Who we share data with

We do not share your data with others, except with service providers that help us run the website and our organisation. We have data processing agreements with them and they may only use your data on our behalf:

Vercel: website hosting and image storage (servers in the EU, Frankfurt).
Neon: database in which forms and donations are stored (servers in the EU, Frankfurt).
Mollie (the Netherlands): payment processing. Your payment details, such as your bank account number, are processed by Mollie; we only see whether the payment succeeded and which payment method was used.
Resend: sending emails from the website.
Google Workspace: our email (info@htgv.nl).
Cloudflare: domain name management (DNS).

Some of these companies are based in the United States, so data may be processed outside the European Union. This only happens with the safeguards the GDPR provides for, such as the EU-US Data Privacy Framework or the European Commission's standard contractual clauses.

We only give data to others if the law requires us to.

Cookies

This website does not use cookies for statistics, advertising or tracking visitors. Fonts are loaded from our own server. Only staff who log in to the admin receive a functional cookie to stay logged in.

Some pages contain YouTube videos. We load them via youtube-nocookie.com, so YouTube can only store something once you play the video yourself.

Security

We protect your data against loss and misuse: the website uses an encrypted connection (https), only authorised board members and volunteers have access to the admin, and everyone has their own account. If you feel your data is not properly protected or you see signs of misuse, please contact us at info@htgv.nl.

Your rights

You have the right to:

access your data;
have incorrect data corrected;
have your data deleted, unless we are legally required to keep it;
have the processing restricted or object to it;
receive your data in a common file format (data portability);
withdraw your consent at any time. This does not affect processing before the withdrawal.

You can send a request to info@htgv.nl. We will respond within four weeks. To make sure the request comes from you, we may ask you to identify yourself. You can always stop a monthly donation yourself via the link in your welcome email.

Complaints

Not happy with how we handle your data? Please let us know first and we will look for a solution together. You also have the right to file a complaint with the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens.

Changes

We may update this privacy statement, for example if our way of working or the law changes. The date at the top shows when the text was last updated.
